Why firms recommend Rowan
Infrastructure for the work you already do.
Rowan handles the admin that eats your caseworkers' hours — client onboarding, document collection, deadline tracking, and evidence bundle assembly. You handle the advice.
Clients arrive with organised bundles
Documents uploaded, tagged, and ordered per Appendix FM-SE. No more 40-email client intakes.
Cut caseworker admin by 40–60%
Document collection, reminders, and status chasing run on auto-pilot. Your time goes to advice, not admin.
Fewer missed deadlines
Live per-case deadline tracking. Reduces a real PI risk with audit-ready alerts.
Status transparency cuts client emails
Clients see their own progress in the portal. "What's happening with my case?" emails drop 70–90%.
Your brand, your relationship
White-label the workspace with your logo and colours. Clients never leave your brand.
AI drafts, you advise
Case-specific outputs are drafted by AI and queued for your caseworker's review and approval. You sign off; you own it.
PI-friendly by design
Mandatory human-in-the-loop. Full audit trail of every AI output. Your compliance officer can answer any IAA question.
Inside the workspace
Two views. One relationship.
The client sees their own workspace. Your caseworker sees every case on the platform, with AI-drafted first passes queued for review.
What the client sees
- Route-specific document checklist
- Document vault with AI tagging
- Progress dashboard
- Deadline countdown
- Template library (pre-filled from client inputs)
- Secure messaging with their caseworker
- Export submission-ready PDF bundle
What the caseworker sees
- Multi-case dashboard with completion %
- AI-drafted first passes (cover letters, risk summaries, eligibility notes)
- Approval queue with edit history
- Template management (firm-wide)
- Audit trail per AI output
- Capacity view (caseworker load)
- Firm-wide analytics (time-per-case, outcomes)

Common questions
What firms usually ask us.
Does Rowan give immigration advice?+
No. Rowan is workspace and drafting tooling for your caseworkers. All case-specific AI output in firm mode is gated behind your caseworker's review and approval. You remain the IAA-authorised or SRA-regulated adviser — we don't provide advice under s.82 Immigration and Asylum Act 1999.
Who owns the client relationship?+
You do. Rowan is white-label — the workspace carries your brand. Clients are your clients. Your engagement letter governs the advice relationship from start to finish.
What is the liability story for the AI features?+
A caseworker must approve every case-specific AI output before it reaches the client. Rowan's SaaS contract caps liability at fees paid. Standard legaltech terms — we'll share a one-page AI governance summary on request.
How does the caseworker approval flow work?+
AI drafts an output (for example, a cover letter from the client's uploaded facts). It appears in your caseworker's approval queue. They review, edit, approve, or reject. Only approved output is surfaced to the client. Every step is logged.
Can we brand it?+
Yes. Seat subscription and Enterprise plans include full white-label: your logo, your colours, and your domain (for example, clients.yourfirm.co.uk).
What about data protection and GDPR?+
UK-hosted on ISO 27001 infrastructure. Data processing agreement provided. Client data is portable and exportable on request. Full audit log available for your compliance officer.
What integrations are planned?+
Clio, MyCase, and SRA-approved practice management systems are on the roadmap. SSO via SAML, Google Workspace, and Microsoft 365 is included in Enterprise plans.
What happens if we stop using Rowan?+
Clients keep access to their own data. You export the case archive. No hostage-taking of client records.
